              Office management assistants are the true organisational talents in the modern working world. They take on a variety of commercial, administrative and organisational tasks to ensure the smooth running of the office. This includes, among other things, drafting correspondence, designing appealing presentations and procuring office supplies. You will plan and monitor appointments, prepare meetings and organise business trips to ensure that everything runs efficiently.

              They also support human resources, purchase external services and look after customers with a friendly and professional service. They are actively involved in order processing, sell tickets in visitor services, create invoices and keep an eye on incoming payments. 

              Office management assistants play a key role in an increasingly digitalised world. They use modern technologies and digital tools to organise their tasks more efficiently. The use of artificial intelligence (AI) and automation is becoming increasingly important in order to optimise routine tasks and create more time for creative and strategic activities. This makes them not only organisational experts, but also pioneers of digital transformation in everyday office life.

              At Oper Leipzig, office management assistants work in the following areas, for example, and perform the following tasks, among others:

              • Accounting and controlling: invoice management, payment monitoring and collaboration on annual financial statements, budget planning and participation in the preparation of regular reports (e.g. quarterly financial statements)
              • Costume and theatre workshops and technical management: coordination and organisation of day-to-day business, ordering materials
              • Assistance to the administrative management: planning consultations and meetings, including preparing meeting documents, coordinating appointments, ordering materials, writing and processing e-mails, letters, etc.
              • Human resources: Managing employee contracts and master data, processing business trip requests and booking trips for employees,
              • Visitor service: receiving and advising visitors or registered persons, answering the telephone and processing enquiries
              • IT organisation: project work relating to data processing and digitalisation, data maintenance
              • Marketing: Supporting the maintenance of Oper Leipzig's social media channels, helping to plan and implement marketing campaigns

               

            • Prerequisites

              If you want to work as an office management assistant, you should enjoy communicating with people, organising things and always keeping an overview. In this versatile profession, you are the interface between different departments and ensure that everything runs smoothly. You need to be open to new, modern ideas and open to project work and digitalisation. Technical understanding, creativity in solving problems, the ability to work in a team, reliability and a sense of responsibility should be present. 

            • Apprenticeship

              The apprenticeship to become an office management assistant is a three-year dual vocational training programme.

              The practical instruction of the trainees takes place in many areas of the administration of Oper Leipzig or Musikalische Komödie, while the theoretical instruction takes place at the vocational school in Leipzig or Delitzsch.
